Booking Terms & Conditions
These Booking Terms and Conditions comprise the principal terms under which we conduct our business. If we agree any further terms, we will agree these in writing. You agree that if, at any time, we agree any terms that conflict with these Booking Terms and Conditions, such further terms will have no effect.
Definitions
Artist
Any artist with whom you wish to contract in relation to (a series of) Engagements.
Performance
Any performance(s), arrangement(s), engagement or series of engagements that you will provide for the Artist.
Fee(s)
Any fees to be paid by you to the Artist (or to us on the Artist’s behalf) including but not limited to any expenses, advances, deposits, guarantees and overages and including any VAT or other sales tax payable on such amounts.

Standard Terms
We operate as an “Employment Agency” under the terms of the legislation representing artists for the purposes of contracting them for temporary occasional work with hirers (i.e you or venue) as a performer/s in the entertainment industry.
Representation by us does not constitute employment with the Agency. All contracts to hire whether written or verbal or implied are direct contracts between the Artist and the hirer, not the Agency.
By entering into any agreement whether written or verbal or implied for the booking of artists or services through the Agency all parties shall be deemed to have agreed to accept and abide by the terms and conditions as described here and as amended from time to time by the Agency and as prevalent at the time of the making of the agreement.
Travel, Accommodation and Event Requirements
For international events you will arrange and pay for in advance all return flights, internal travel and hotel accommodation/board and any licensing and Performance permits as required by local law.
The Agency may arrange travel or accommodation on behalf of the Artist. Flight share arrangements are the responsibility of the Artist if being made at his or her instigation.
You must seek prior agreement from the Agency before making the Artist available to other promoters for additional bookings for the purposes of sharing flight and accommodation, travel costs.
Payment Terms
Unless otherwise stated in this agreement:
- 100% of the Performance Fee
- 100% of travel expenses
- Any other Fees relating to visas or work permits
shall be payable by you to the Agency within twenty-one (21) days of confirmation of the booking or unless funds are required earlier to ensure flight availability.
Where you are arranging and purchasing flight tickets and hotel vouchers on behalf of the Artist:
- These shall be paid for in advance by you
- Full details and (e)tickets must be received by the Agency at least twenty-one (21) days in advance of the event
unless otherwise stated in the agreement.
In some instances, the Agency may agree to accept a percentage of the Performance Fee in advance, and you will pay the remaining balance directly to the Artist or Artist’s representative:
- On the day of the Performance
- Prior to the Performance
- Or on arrival in the country of Performance (whichever is sooner)
Currency and Payment Method
Payment will be made in the currency stated in the agreement – usually:
- UK POUNDS
- US DOLLARS
- EUROS
free of any deduction unless otherwise stated.
Full payment details will be advised on booking.
It is recommended that you use secure electronic transfer systems via a reputable bank or cable office.
Credit card payments are not accepted.
The Agency cannot accept responsibility for cash payments sent by post.
Tax Responsibility
The Artist Performance Fee as stated in this agreement is gross of personal income or commercial trading tax liability.
Payment of personal income or trading tax liability is the responsibility of the Artist, not the Agency.
We strongly recommend that the Artist:
- Makes provision for such liabilities
- Keeps appropriate financial records as required by law
Booking Validity and Cancellation
If:
- Any part of the fee remains unpaid, or
- Travel or accommodation documents are not received within reasonable time
the booking shall be void and the Artist will not be obliged to fulfill the engagement.
No refund will be given.
Cancellation Terms
- 50% of the Performance Fee is payable if cancelled up to eight (8) weeks prior
- 100% of the Performance Fee is payable if cancelled within eight (8) weeks
If the event is postponed:
- The Artist is not obliged to accept a new date
- Cancellation terms still apply
Logistics Responsibilities
You must:
- Provide clear directions to the venue
- Arrange prepaid transportation for overseas events:
- Airport → Hotel
- Hotel → Venue
- Venue → Hotel
- Hotel → Airport
Refunds and Travel Costs
If the event is cancelled:
- No refund of Fees or travel expenses will be given
If you purchased travel/accommodation:
- Unused tickets or vouchers may be returned for refund
If the Agency purchased travel:
- Refunds will be processed
- Deductions may apply for:
- Cancellation costs
- Administration
- Bank charges
Note: Many flight fares are restrictive and may not allow refunds or changes.
Force Majeure / External Issues
If the Artist cannot perform due to reasons outside their control (e.g. travel delays, flight cancellations, customs issues, loss of equipment, etc.):
- The booking is void
- No refund will be given
The Artist will take reasonable steps to perform or notify delays.
Personal Circumstances
If the Artist cannot perform due to personal reasons (e.g. illness, death, emergency):
- The Agency will attempt to provide a replacement Artist (if agreed)
- Replacement travel/accommodation costs are your responsibility
If replacement is not available:
- Refunds for unused travel/accommodation may be processed (with deductions)
Liability
No payment shall be made by the Agency to you for any direct or consequential financial loss resulting from failure of the Artist to perform.
Repeat Bookings
Repeat bookings or new bookings resulting from the Artist’s Performance must be made through the Agency.
Performance Duration
Unless otherwise stated in the agreement, the Artist will perform for a maximum of 2 hours in the Artist’s usual style.
